AI for Your B&B

My session for 60 B&B and boutique accommodation owners at the Bed & Breakfast Association NZ Conference in Christchurch. Three parts: what AI actually is, the jobs it does in a hospitality business, and how you get found when a guest asks AI where to stay.

What AI actually is

AI has been around since 1956. You already use it every week: what Netflix plays next, predictive text, spam filters, Google Maps, bank fraud checks, and the ranking and pricing behind your own Booking.com and Airbnb listings. The new bit is that ChatGPT and Claude made it something you can talk to.

It isn't a search engine, it generates an answer rather than looking one up. It isn't a mind reader. And it isn't perfect: it can be confidently wrong, so check anything that matters. Picture it as a spotlight on the internet. Ask for "write me an email" and you get the average of everything. Add your role, your guest, your goal and your tone, and the spotlight narrows. Context is what makes the output good.

On data: free tools usually train on what you type, so never paste in guest details, contracts or financials. Paid team plans from ChatGPT, Claude and Copilot switch training off by default.

The jobs it does in a B&B

For the live demo I used a simple prompt framework, CRISP: context, role, instruction, specifics and proof (an example of what good looks like). I ran it on Homelea, a heritage B&B in Christchurch: find its most direct competitors, compare their prices, rooms and amenities in a table, then give a SWOT and three actions. A fast market researcher, in a few minutes.

  • Listings and website words: specific beats poetic. "500 Mbps Wi-Fi throughout", not "we have Wi-Fi", and seasonal versions in seconds.
  • Guest enquiries: a friendly reply in your voice, ready to send. An enquiry at 11pm answered at 8am is often a booking already lost.
  • Reviews: calm, professional replies, especially to the one-star that ruins your week. Reply to every review; replies are part of the pitch.
  • Local guides, house rules and templates: paste in your local knowledge once and reuse it everywhere.
  • The books: most B&Bs already run on Xero, which has AI built in now. A human still checks anything that touches tax.

When a guest asks AI where to stay, are you the answer?

Today guests find you through the booking apps, Google, TripAdvisor and word of mouth. That front door is moving. I had just spent two weeks in Japan, and I planned every hotel and every meal with Claude. I never browsed a booking site; I asked AI where to stay, then went straight to book what it recommended. The booking app has become the checkout, and I never saw the places it didn't mention.

And there is no single ranking any more. Ask "where should I stay near Queenstown?" as a solo budget traveller, a family from Australia or a couple from the US, and you get three different answers. Old SEO told you where you ranked on a page. This is about being the recommendation in a conversation your old tools can't see, and most accommodation hasn't started on it yet.

  • Be talked about: reviews, booking-site listings and "best places to stay" articles.
  • Answer real questions: pets, parking, distance to town. The more specific, the better.
  • Be machine-readable: a clean, well-structured website.
  • Be consistent: the same name, address and phone number everywhere.
  • Stay fresh: current rates, photos and details.

Three small things, tonight:

  • Give AI one real job: a guest reply or a listing tidy-up.
  • Ask AI for the "best B&Bs in [your town]" and see if you are the answer.
  • Fix one visibility gap, starting with your Google Business Profile: claim it, complete it, and make it match everywhere else.
